Please read this policy carefully before applying for any event with Majlis by the Sea.

How Our Process Works

Majlis by the Sea operates a curated matching process to ensure the best possible experience for all attendees. When you apply for an event, you are entered into our matching process, which is completed and communicated to all applicants no later than 24 hours before the event.

There are two possible outcomes:

  • Not matched — you were not selected for this event and will receive a full refund of any fees paid
  • Matched — you have been confirmed for a group and will receive your event details. At this point, your booking is final.

By submitting an application, you confirm that you have read, understood, and agreed to this policy in full.

Refund Eligibility

Your refund eligibility is determined by where you are in the matching process at the time of cancellation.

Before Matching — Full Refund Eligible

If you wish to cancel your application before the matching process has taken place (more than 72 hours before the event), you are eligible for a full refund. Because you have not yet been assigned to a group, your spot can be reallocated without affecting other attendees.

All refunds will be processed after the event date via your original payment method.

After Matching — Non-Refundable

Once you have been matched and have received your confirmed event details, your booking is final. No refunds, cancellations, or transfers will be issued under any circumstances. This policy exists because your confirmed spot is built around a carefully curated group — a last-minute cancellation directly impacts the experience of every other member in your group.

How to Cancel

If you wish to cancel before the matching process, all cancellation requests must be submitted in writing via Instagram DM or email. Verbal cancellations will not be accepted.

Non-Transferable

Event confirmations are strictly personal and non-transferable. Your spot may not be passed on, sold, or gifted to another individual without prior written approval from our team. Each attendee is individually selected to maintain the integrity and balance of the group experience.

Event Cancellations by Organizer

In the rare event that Majlis by the Sea needs to cancel or significantly modify a scheduled event, all confirmed attendees will be entitled to either:

  • A full refund of any fees paid, or
  • A transfer to a future event at no additional cost

We will communicate any such changes as promptly as possible.

Exceptional Circumstances

We understand that serious emergencies can arise. In the case of a significant medical or family emergency, please contact us immediately. Each situation will be reviewed individually and, at our sole discretion, we may offer event credit toward a future experience. This does not constitute a guarantee of a refund or cancellation.
